Red flag / Contract signing

Is our per-plate price locked in, or only the minimum F&B spend?

Venues often agree verbally on a per-plate rate but write only the minimum food and beverage spend into the contract. If the per-person package floats later, your guest count or budget suddenly has to absorb the difference.

Good answer

Both the minimum F&B spend and your per-person package price are permanently locked in from signing.

Red flag answer

Food and beverage prices are subject to market fluctuations and will be confirmed 30 days before the event.

Does the fee include outside catering rights and all associated costs?

Indian weddings often need regional food that an in-house hotel kitchen cannot execute authentically. Kitchen buyout fees, corkage, cake-cutting fees, and equipment usage can collectively add lakhs to the real quote.

Good answer

Outside catering is permitted for a flat kitchen buyout fee. Corkage and equipment access are defined in writing.

Red flag answer

We can discuss outside catering later. Our in-house food is usually preferred.

Vendor comparison matrix

Compare the final number, not the headline quote.

VendorQuoteGST includedFinal quoteAdvanceRisk
Rs 4,13,000%
Rs 4,10,000%
Rs 3,42,200%

Any quote without GST is inflated by 18% here. High advance requests and weak written answers should outweigh a lower headline price.

Negotiation script

Hi Venue team, thank you for the detailed quote. Before we confirm, we want to align on the final all-inclusive number, payment schedule, cancellation terms, overtime, and backup plan. Could you please share the GST-inclusive total and mark which items are optional versus mandatory? If we confirm this week, what value can be added without increasing the total: extra hour, assistant, delivery, setup, or upgraded deliverable?

Reference-check script

REFERENCE CHECK FOR VENUE 1. Did the vendor deliver exactly what was promised in writing? 2. Were there any last-minute cost additions? 3. Who personally showed up on the wedding day? 4. How did they handle delays or pressure? 5. Would you hire them again at the same price? 6. What should we put into the contract before booking?
